This Privacy Policy explains how VoteNest ("we," "us") collects, uses, and protects your personal information when you use our platform (the "Service"). We are committed to handling your data responsibly and in line with applicable data protection laws.
1. Information We Collect
Account information: your name, email address, phone number, and role when you register. Organizers also provide organization details.
Voting information: the campaigns you vote in, the nominees you support, and (for paid voting) payment references. Guest voters may be identified by phone number.
Payment information: transactions are processed by Paystack. We do not store full card numbers. We retain transaction references, amounts, and status for record-keeping.
Usage data: activity logs and technical data (such as IP address and device) used for security, fraud detection, and analytics.
2. How We Use Your Information
- To create and manage your account and authenticate sessions;
- To record and verify votes and process payments;
- To detect and prevent fraud, abuse, and suspicious voting patterns;
- To send transactional and notification messages you have opted into;
- To operate, maintain, and improve the Service.
3. Legal Basis
We process your data in accordance with the Data Protection Act, 2012 (Act 843) of Ghana, based on the consent you give when registering, the performance of our contract with you (operating your account and campaigns), and our legitimate interests in security and fraud prevention.
4. Sharing of Data
We do not sell your personal data. We share information only as necessary to operate the Service: with our payment provider (Paystack) for paid voting, with our hosting and infrastructure providers, and where required by law. Organizers can see campaign-level analytics for their own campaigns.
5. Cookies and Similar Technologies
We use essential cookies to maintain your session and authentication. We may use analytics tools to understand platform usage. You can manage cookies through your browser settings.
6. Data Retention
We retain your data for as long as your account is active and for a reasonable period afterward to meet legal, accounting, and record-keeping requirements. Campaign and vote records may be retained to preserve results integrity.
7. Data Security
We use encryption in transit and at rest and restrict access to authorized personnel. No method of transmission or storage is completely secure, but we take reasonable steps to protect your data.
8. Your Rights

9. International Transfers
Your data may be processed in countries other than your own. By using the Service, you consent to such transfers in accordance with this Policy.
